How to create new Share-Board / Project?
Step 1: On the Homepage of OmniaTeam Dashboard, click “+New Project” icon.

Step 2: You will be prompted to a dialog box. Type the Project Name – anything that is particular for your company or project. Then, select Project Template from the drop-down list. You can also adjust the “Start Date” of this project, as required. Select the “Project Type,” “Usage Category,” and “Usage Type”, “Folder” and “Controlled Vocabulary.” Make sure to fill all the options to create a new project.

Step 3: Tick the check boxes for “Include Workflow and User Profile settings” and “Include Members” if required. Update all the necessary details in the dialog box. After filling all details, click save.

Step 4: Once you click “Save” and the new project will be created.

Step 5: A dialog box will appear with “Project creation successful!” message. A new project with Project ID will appear in the OmniaTeam Dashboard under Project Name list. Click “Ok” to close or use the close button.

As an example, in the OmniaTeam Dashboard below, you can see the new project created as “Test for Guides(7613)”. You can view all the project by clicking the “Team Projects,” on top middle right of the page. You can see also the Role and Actions aligned with that “New Project” as shown in the 2nd image.

Glossary
- Normal Project type– The Standard Project where the need is to complete all stages of the project before any of the assets created, as part of the project, can be added to the library.
- Processing Project type– This is a permanent project, where the assets being processed, can be approved and added to the Knowledge Hub at any of the different stages in the project.
- Product Package Project type– When working on an artwork design project e.g. a company brochure, the Assets will need to go through the final stage and approved – similar to the “Normal Project.” However, the difference is that the final approved assets are packaged into a zip file and added to the Knowledge Hub as a single asset. When viewing an asset like this, you will see the constituent assets listed as a thumbnail on the Preview screen. The purpose of this is to allow the single asset to be sent to a designer to allow them to work on a new artwork, when required.
- Controlled Vocabulary (CV): A Controlled Vocabulary is a set of terms or phrases used to describe and categorise information. By using a standardised set of terms, organisations can ensure that their digital assets are consistently and accurately labelled, making it easier to find, manage, and reuse the information they need. In a Digital Asset Management (DAM) systIem, a Controlled Vocabulary acts as a foundation for organising and categorising digital assets. By using consistent terms and categories, organisations can ensure that all of their digital assets are easily searchable and accessible. This can be especially useful for large organisations with multiple departments, where different teams may use different terms to describe similar assets.
